How to Plan Your Wedding Stationery and Signage (A Step by Step Guide)

When you first get engaged, stationery and signage might not be high on your to do list. But as your day starts coming together, these details are what tie everything beautifully together. From your save the dates to your welcome sign, your stationery sets the tone and brings your whole wedding story to life.

To help make this process feel less overwhelming, I sat down with Ebru from Ido Ido Weddings, who shared her expert advice on where to start, what to prioritise and how to keep it fun.

Step 1: Start with Your Invitations

According to Ebru, your invitations are the best place to begin.

“The invite design sets the tone for everything that follows,” she told me. “It’s where your colours, fonts and overall style start to come together.”

At Ido Ido Weddings, couples start with a one on one consultation, a relaxed chat about your day, your style and what’s already included in your venue package (because at times your venue will offer certain signage, or options for your signage to sit on, such as an easel).

From there, Ebru helps create a custom stationery plan so you’re only paying for what you really need.

“We always start with the earliest item, the invitations, and then build from there,” she explained.

Step 2: Know Your Wedding Stationery
Timeline

If you’re unsure when to send things out, here’s the simple timeline Ebru recommends:

  • Save the Dates: Send around 12 months before your wedding, or 8 months at the latest if guests are travelling.

  • Invitations: Post about four months before the big day, with an RSVP date five to six weeks before. This gives you enough time to chase up any late responses and finalise your seating plan.

Having your designs started early makes the rest so much easier, by the time you’re working on your seating chart and signage, the aesthetic is already locked in and ready to go.

Step 3: Choose the Right Wedding Signage

Welcome signs and seating charts are usually the first piece’s couples order after invitations. Ebru explained that each material has its benefits:

  • Foam board signs are lightweight, affordable and easy to customise.

  • Linen signage adds softness and texture, perfect for modern or romantic settings.

  • Acrylic signage is timeless and works beautifully in most venues, it’s elegant, sturdy and gives you that glass-like finish without the worry of breakage. “It’s also great for reusing,” Ebru mentioned. “Some couples remove the text after the wedding and keep it as décor at home,”

Another tip Ebru shared for those planning an outdoor celebration, is to secure your signage with weights or double-sided tape, small touches that make a big difference on a windy day!

Ebru has kindly shared a few of the many signage options they offer in the images below.

Step 4: Make It Personal with Custom Design

One of the things that stood out most from chatting with Ebru is how personal the process is. Every couple gets to see digital mock-ups and make live changes with a designer, trying out different fonts, colours and styles until it feels just right.

“You don’t know if you’ll love it until you see it,” Ebru said. “So we make sure you get to see it first.”

That same approach continues all the way to thank you cards, which can include your favourite wedding photos and heartfelt messages and because Ido Ido Weddings keeps all your design files on hand, you can evolve your stationery over time without starting from scratch.

Step 5: Enjoy the Process

Ebru’s biggest piece of advice? Don’t leave your stationery and signage to the last minute.

“Get in early so you can have fun with it. This part should be enjoyable, not stressful.”

With a little planning and the right creative support, your stationery becomes more than paper and print, it becomes a reflection of your day, your story and the people you love most.
